Terms of Use & Conditions

The Hall belongs to the residents of Cockburnspath and is run by a committee of volunteers.  All bookings, when possible, should be made at least one week prior to the date of let required. Handover of keys and further information will be arranged with the hirer by the Booking Clerk. 


The main hall will hold up to 150 people, the cafe area a maximum of 40 and the meeting room a maximum of 10 people. There are 150 place settings of cutlery and crockery available for a three course meal. The kitchen is equipped with a dishwasher, a fridge/freezer, two ovens and two hobs.

When booking, please check the time of other lets if you need time to set up your event. Setting up time can only be provided if no-one else wants to use the hall at that time.

Please note that your booking is not confirmed until the Booking Clerk has received your completed booking form and acknowledged receipt of it.

General Housekeeping

 After your let, please remember to:


  • Leave the hall in a clean and tidy condition

  • Ensure the toilets are clean

  • Take home all your possessions

  • Put all rubbish in the bins

  • Recyle where possible - take away all glass bottles

  • Return the hall key to the village shop or a known committee member

The Village Hall is in the centre of the village of Cockburnspath therefore we ask you to consider our neighbours and keep noise to a minimum when leaving the hall, especially after an evening event.

Conditions of Let
  • Organisations meeting on a regular monthly / weekly basis need to make only one application per year

  • Lets are entirely at the discretion of the Cockburnspath Village Hall Committee and permission for the use of the premises may be withdrawn at any time

  • The time period for which a let is granted should be strictly adhered to, otherwise an extra charge may be made

  • A deposit of 50% of the hire fee shall be levied on all wedding bookings

  • A cancellation fee of 100% of the booking fee will be charged if a booking is cancelled 7 days or less prior to the event.

  • If the booking is cancelled more than 6 months prior to the event the deposit will be refunded in full. If cancelled between 6 months and 7 days of the event 50% of the deposit will be refunded. 

  • Payment of the full amount due must be made 7 days before the booked event 

  • Organisations or individuals to whom the hall is let are liable for any damage done to the building or furnishings and for any additional cleaning arising as a consequence of their let

  • The Committee is not responsible for any injury sustained during the let by any individual using the premises. A first aid kit and accident log are kept in the kitchen. A de-fibrillator is available in the foyer

  • Smoking and use of electronic cigarettes are not permitted in the hall

  • The responsible leader or individual must be in attendance during the period of let

  • It is a condition of a let for a dance/disco/party that the names and addresses of 2 responsible adults must be submitted on the booking form. The Committee reserves the right to ask for a refundable cash deposit for such lets.

  • Please let us know if you wish to bring equipment into the hall for your event e.g. a bouncy castle, because you will be required to show evidence of the appropriate public liability cover as the use of such equipment is something which is an excluded item on the Village Hall insurance cover for outside hirers.

  • It is a condition of hire for an event such as a party that the hirer meets with a member of the Village Hall Committee in the village hall and si shown round the building and various aspects of use of the building are explained e.g the dishwasher, the projector, the fire regulations.

  • The "Patio Doors" out onto the football field and all other external doors must not be opened for evening functions especially when there is loud music playing in the hall due to nuisance noise to nearby residents

  • Where a bar licence is required, separate application should be made by the hirer to the Licensing Board of Borders Regional Council

  • If food and drink is to be served, the hirer is responsible for ensuring that food safety regulations are followed

  • No banned / illicit substances are to be used in or outside the premises

  • Assistance dogs only are allowed in the village hall.

Fire Precautions
  • Please be aware that in case of fire the Fire Regulations state that persons must be nominated for all lets where numbers exceed 50 (one person to every 25 people). There people must attend for the entire period of the let. 

  • In the event of the fire alarm sounding, all persons must leave the building via the fire exits

  • There must always be free and unobstructed access to ALL exit doors

  • Fire extinguishers must be readily accessible and must not be covered or hidden by any materials

  • Any temporary electrical installation must be undertaken by a qualified electrician . Electrical equipment must not exceed 13 amps

  • The hirer must not use portable gas heaters under any circumstances
